St.
Chad’s Building Committee 3 Meeting # 8 8/05/2007
Attendees: Larry Babineaux, Susan Carson, Hal DeHoff, Merri Jean Jones, Debra Kincaid, Jan Kingsbury, Rich Lehoucq, Eileen Simpson, Richard Simpson, and Father Brian Winter

1. Richard Simpson, Building Committee Vice-Chair, opened the meeting. Merri Jean Jones led the prayer.
2. There were no changes to the agenda. Susan Carson moved and Jan Kingsbury seconded the motion to accept the agenda. Motion carried.
3. There were no changes to the minutes of the July 25 meeting. Jan Kingsbury moved and Merri Jean Jones seconded the motion to accept the minutes. Motion carried
4. Status of Action Items. a. Action Item AI 1-3 (Expansion Feasibility study.). Richard Simpson indicated there were no changes to report. The Expansion Feasibility sub-group will be meeting with Don Schlegel on Wednesday, August 8 to clear up questions on his report. Following this meeting with Don, Richard stated he would be summarizing the Don Schlegel report with the clarifications. The summary will be presented to the BC3 by August 19.
Larry Babineaux presented a handout drafting the approach or actions needed to get us to the January pledge drive kick-off. The milestones in Larry’s proposal are to be added to the BC3 Timeline. Larry requested the BC3 review the draft and provide him any suggestions. He indicated this paper is a starting point for review and discussion. The August 19 meeting agenda will include discussion on the proposal after everyone has had an opportunity to review the document.
Larry also noted that he has become aware of a level of concern from parishioners that the BC3 is already planning for a new facility. He suggested the BC3 should help parishioners understand that the BC3 does not have a preconceived plan and does not wish to spend more money than necessary. It was suggested that Richard include some assurances in the September View article, perhaps comparing rumors/concerns with a BC3 response. Richard indicated that he was already tasked with addressing the results of the ministries emphasis survey in the September article.
b. Action Item AI 1-5. (Survey of other churches) Merri Jean Jones reported that she is working on the compilation of the Survey of Other Churches summary and will email the results sometime next week to the BC3. The summary will include the findings from Father Brian on his visit to St. James, Taos. Father Brian indicated St. James had two surprises from the building project: the emotional attachment some parishioners had to the sanctuary, and the Building Committee had not planned beyond the near future and now the church needs more office and storage space.
Susan Carson indicated she had worked out a matrix comparing St. Chad’s Phase 1 survey to the Phase 3 Ministries Emphasis survey. Susan commented the surveys had many similarities. It was agreed that her findings belong with the Ministries Emphasis.
Jan Kingsbury noted that the top 80% of money raised usually comes from 10% of the congregation. She noted that Jan Hosea had volunteered to approach the 10% of St. Chad contributors to see what contributions the Building Fund can count on from them. It was expressed that a kick-off is more effective if it can be announced what amount of money is already committed to the total goal. Hal DeHoff stated he would need authority from the Vestry to give out names of the top givers at St. Chad’s.
Jan K. indicated she would refine the notes from her meeting with Jan Hosea and email them first to Bob Gough, Rich Simpson and Paul Apodaca for review. Then the notes would be sent to all BC3 members. She expects a mid-September delivery of the notes.
c. Action Item AI 3-1 (Ministries emphasis) Richard Simpson noted that Bob Gough had created a document to be presented to the Vestry with the total survey numbers, survey summary, and survey comments documents. Richard will be reporting to the Vestry next Sunday in Bob Gough’s absence. After the Vestry approves the findings, the BC3 will then need to translate the survey results into facility needs.
Richard Simpson thanked Bob Kingsbury for his contribution on the Ministries Emphasis tasks. Bob had agreed to work with the BC3 for this task only.
d. Action Item AI 3-2. (Fund raisers) Jan Kingsbury explained the first fall fund raiser will be a Sunday breakfast put on by the BC3, October 28, following both services. A “Save the Date” item will be inserted in the September monthly newsletter, St. Chad’s View, and more details provided in the October newsletter. Richard Simpson volunteered to present the Sunday brunch fund raiser at the Vestry August 12 meeting. Jan suggested the menu would include Bob’s “wicked” waffles. The meal would be more like a brunch after the second service with salads.
Jan suggested the BC3 wear special shirts for the Building Project events during the next three years. It was suggested that since some parishioners perceive the committee is spending too much money up front, we have shirts with a St. Chad logo available to everyone as both a fund raiser and for publicity. Color coding could be used to distinguish the Building Committee member’s shirts. Shirt suggestions included polo shirts and denim shirts. It was generally agreed that the BC3 brunch ask for donations rather than set prices or suggested donation amounts. Debra volunteered to make a Lego container for the donations. Jan moved the first casual fundraiser be a BC3 brunch on October 28, serving wicked waffles. Larry seconded the motion, which was unanimously passed.
Susan Carson volunteered to manage a fundraiser play or dinner/play, sometime after her January 2008 retirement.
e. Action Item AI 7-1 (Architects and Contractors). Richard Simpson noted that work has not begun on this task. He requested any suggestions of possible architects and/or contractors be sent to him. Names will be gleamed from the Survey of Other Churches reports.
Debra Kincaid is working on the account list. The list of Building Fund items since January has been received. Debra agreed to provide a monthly, simple accounting report for the BC3. She stated a compilation of possible account codes would be provided at the next BC3 meeting.
5. Old Business. a. (Calendar for Parish activities). Father Brian reported that the St. Chad’s weekend retreat planning is looking at the weekend of November 9 – 11. The Convocation will be held in Albuquerque the weekend of October 19. The Bishop visit to St. Chad’s is September 30.
b. (Other Old Business). None.
6. New Business. a. None.
7. The next meetings are scheduled for Sunday, August 19, September 2, and September 16; all at 11:30 am.
ACTION ITEMS
AI 8-1. All BC3 - Review the Source Selection Discussions document and provide Larry Babineaux any suggestions prior to discussion at the August 19 meeting.
AI 8-2. Debra Kincaid - Provide a monthly, simple accounting report for the BC3, and provide a compilation of possible account codes at the next BC3 meeting (August 19).
